Tom,
Ann and I were just talking about the auction this week as we need to get things planned out. One idea was to create a designated area within the show and during check in (and most likely locate it behind the check in table) where we could log each item as it is being turned in for donation. This would also enable participants to view the items before the show to allow prospective bidders to check out all the items up close before the actual auction. A table could be set up as well as signage so people know where to go. Also and at that time, we could list and number it on a log sheet as well as adding a description and donors name (if donor wishes). The item could then be numbered with a sticker. Ann is also making numbered bidding cards for each bidder that could be given out just before the auction and available at the "girls" table. These would also be logged on a sheet so we know what number belongs to whom. All this would make Joe's and our job much easier as this would lessen the confusion considerably during the auction. Joe simply reads off the lot number and description as he is auctioning the item and then the winning bidders number and dollar amount and we write it on another copy. This will give us a better accountability and make it run much smoother.
